Who we are

edazent ("we", "our", "us") is a cloud platform operated for education and migration consultancies. We provide CRM, application tracking, finance, document management, portals, and workforce tools to agency customers.

When you sign up for an agency trial or subscription, you act on behalf of your consultancy. Portal users (students, partner agents, counselors, and suppliers) access the platform through invitations from your agency workspace.

Information we collect

We collect information necessary to run your agency workspace and connected portals. The categories depend on how you use edazent:

  • Agency account data — consultancy name, office details, billing contact, plan tier, and staff user profiles (name, email, username, role).
  • Student & applicant data — names, contact details, nationality, education history, application status, and documents your counselors upload on behalf of clients.
  • Partner & supplier data — agent referral records, commission visibility, sub-lead details, and institutional collaboration data.
  • Operational data — leads, quotations, follow-ups, invoices, receipts, commission claims, chat messages, and workflow activity within your workspace.
  • Technical data — IP address, browser type, device information, login timestamps, and audit logs for security and troubleshooting.
  • Marketing site data — contact form submissions, newsletter sign-ups, and cookie preferences when you browse edazent.com.

Agency as data controller

For student passports, visas, academic transcripts, and other client records your team enters, your agency is typically the data controller. edazent processes this data on your instructions to deliver the service.

How we use information

We use collected information to provide, maintain, and improve the platform for your agency:

  • Provision and manage your agency workspace, staff accounts, and portal access.
  • Enable counselors to track applications, documents, and communications with students.
  • Support finance teams with invoicing, receipts, and commission tracking.
  • Deliver real-time chat, notifications, and workflow automation configured by your agency.
  • Send service emails such as trial provisioning, password resets, and account alerts.
  • Analyse aggregated, anonymised usage to improve product features — never to sell personal data.
  • Comply with legal obligations and respond to lawful requests where applicable.

How we share information

We do not sell personal data. We share information only in these circumstances:

  • Within your agency workspace — staff with appropriate roles (admin, counselor, finance, office staff) and invited portal users see data your agency permissions allow.
  • Service providers — trusted infrastructure and email delivery partners who process data under contract and only for service delivery.
  • Legal requirements — when required by law, court order, or to protect rights, safety, and platform integrity.
  • Business transfers — in connection with a merger or acquisition, with notice where required by law.

Portal visibility

Students see their own applications and documents. Partner agents see referrals and commission data you grant them. Suppliers see collaboration records relevant to their partnership — not your full agency database.

International data transfers

Education agencies using edazent often operate across Bangladesh, Malaysia, Australia, and other regions. Your workspace data may be stored and processed in secure cloud regions used by our infrastructure providers.

Where data crosses borders, we apply appropriate safeguards — including contractual protections with subprocessors — consistent with applicable data protection laws.

Data retention

We retain agency workspace data for as long as your subscription is active and as needed to provide the service. After account closure, we delete or anonymise data within a reasonable period unless retention is required for legal, billing, or dispute resolution purposes.

Your agency administrators can export records and remove documents through the platform. Contact us if you need assistance with a full workspace deletion request.

Your rights

Depending on your location, you may have rights to access, correct, delete, restrict, or port personal data we hold about you as a website visitor or account holder.

Students and applicants should contact their education agency (the data controller) for requests about application records. Agency administrators can manage staff and portal user data directly in workspace settings.
